What’s the right time to buy a Transportation Management System TMS and which one is the best?

There are many reasons to start using a Transportation Management System (TMS for short), but I'd like to make the argument that you are going to be better off using a TMS sooner rather than later.

Here are 3 reasons that starting with a TMS early is best.

1) Reduced complexity

As your business grows and you add customers, you will find that the effort of getting a new TMS in place will increase (your business will always have more processes, contacts, and people tomorrow than they have today). If you install a TMS system soon, it will grow with your organization and you'll have less work getting the system in placed. Many TMS companies charge large "setup" fees, often on an hourly basis, and by starting now you will inevitably save money over adding a TMS system in a year when you have that many more customers, sales people, and carriers to deal with.

2) TMSs save time and money

The reason the big guys (Coyote, CH Robinson etc..) all have TMS systems is because they make salespeople more efficient, reduce errors, and increase margins. The sooner you start acting like the big guys, the sooner you'll be able to compete with them.

3) Better Analytics

This is still kind of a secret among smaller freight forwarders/3PLs, but lets say you wanted to know what freight rates will look like next february (think Valentine's day and the surge in reefer demand because of Valentine's day). Well it'd be nice if next january you could look back and see when your carriers started upping their rates wouldn't it? If you have a (good) TMS in place now, then next year you will be able to look back and see exactly when carriers starting charging you. This is information that your competitors (And likely your carriers) won't have, which gives you a huge edge. The best part: that data gets better every day that you have a TMS running - the sooner you are collecting it the sooner you can start building your advantage over the competition.

The right time to buy a transportation management system is when you really really want to reduce the complexity of the processes. When the business is growing the company needs to adjust to in order to cater all clients. If its too complex and the tasks load and process are not good anymore you really need to get one. And if you want an automated and easy analytics you really need to buy a TMS.

Echoing what others have said, a TMS can save a tremendous amount of time that can be re-focused on sales and customer service. Most systems, including Logistically TMS, will also help you make better decisions and help ensure the right carriers are chosen for the load/lane. Some systems also include tools to make it easier to solicit freight rate bids from carriers and 3PL's, allowing you to leverage the spot market in a low-risk way.

Analytics and BI is another huge gain with most systems, which helps you uncover opportunities that can save or generate more revenue. Here's a good blog post on understanding accessorial usage and how that can lead to such opportunities. Getting that kind of data with a TMS would be difficult and time consuming.
